In this role you will be joining our in-house Digital Success and learning support team with Alchemist Studio Shared Services. This team focuses on supporting and delivering engaging learning experiences, courses, and coaching for our customers, primarily using our digital offerings including web-based systems and Apps. 

The role is extremely varied including all facets of system administration, trouble shooting and client support work for both internal and external stakeholders.

As a Digital Success Administrator at Alchemist, you will work within the Studio Shared Service function to support and sustain the Alchemist learning philosophy, content deliveries and the continuous improvement of our technology offerings.

WHAT TO EXPECT FROM THE ROLE

You will assist in the administration and setting up of courses, events, diagnostic tools and online and digital journeys using our internal digital technologies/systems and Apps. This is also a client facing role that comprises multiple aspects, including digital setup, quality assurance and consistency of experience, stakeholder management, process and workflow optimisation and ultimately helping to give clients and system end users a great customer experience.

You will also support internal stakeholders in the use of our other digital systems (CRM/Finance) and you will assist in the future development of all of our Digital Systems and Apps from new function ideas, screen designing, project management, testing and implementation through to go-live.

RESPONSIBILITIES

  • Using our Digital Systems to create Learning Journeys for clients and reviewing with relevant internal and external stakeholders.
  • Administration of logins and passwords and customer support for system users.
  • Liaise with internal/external IT on any digital system issues that arise.
  • Liaising with key clients who use a bespoke system to look at development and troubleshooting.
  • Working with client contacts regarding projects that they have with us (by email, phone, video call at the client’s preference).
  • Quality checking and cross-referencing processes and reports to ensure accuracy.
  • Supporting Alchemist Practice Directors, Customer Service Managers and Producers with routine administration tasks as required.
  • Providing administrative support to the Studio Shared Service where required.


ESSENTIAL REQUIREMENTS AND SKILLS

  • Highly proficient in Microsoft Office, especially Excel, Word and PowerPoint.
  • Excellent communication, time management, and multitasking skills
  • Creative thinking with a keen eye for detail and great problem-solving skills
  • The ability to manage large volumes of detailed information using templates that will be made available and that you will create.
  • Enjoy a fast-paced team environment where you are required to self-manage your day-to-day activities and think and act quickly with others when changes occur.
  • Good written communication skills and comfortable on the phone as you will be working with internal and external stakeholders.
  • Comfortable with constructive feedback, asking for assistance where required and have a thirst for learning and getting things done.
  • At least two years’ experience in an office environment and use of systems.

DESIRABLE REQUIREMENTS AND SKILLS

  • Interest in UX/UI design
